Position: Transportation Documentation Administrator
Reports to: Customer Care Manager
Location: Pleasanton, CA
 

Position Summary:

Responsible for the collection of transportation documents from buyers for the exemption of US state sales tax and Canadian GST and provincial taxes.


Essential Functions/Responsibilities:

  • Primary responsibility is to follow-up to obtain Bills of Lading or other transportation documentation that accurately shows the movement of equipment across state and international borders in support of the exemption of taxes
  • Follow-up will include requesting information from buyers/customers, transportation carriers and brokers/exporters to obtain the required documentation to support the company's exemption of sales tax
  • Once the documents are received they need to be verified for completeness to the standards to support an independent audit
  • Relevant and verified documents must be attached to the Customer Care Relationship System, Buyer Record for future audit purposes to minimize the Company's sales tax liability
  • This position will require creating monthly management reports that track outstanding/missing transportation documents and the progress made in document collection

Education and Experience:

  • Four + years experience in a transportation related position
  • AA degree or some college coursework preferred

Knowledge, Skills and Abilities:

  • Must have a pleasant phone manner with customers and vendors
  • Must be extremely well organized.......you will be dealing with thousands of documents
  • Must be persistent in follow-up of missing or incomplete documents
  • Familiarity with taxation regulations regarding the movement of construction equipment and vehicles across state lines is desirable
  • Must have familiarity with valid transportation documents including but not limited to: Dock Receipts, Bills of Lading, Packing Slips, Master BOL's, Invoices, Impediamentos, Customs documents
  • Above average MS Excel and Word skills a must
  • Ability to communicate effectively via phone/email
  • Familiarity with electronic document storage/retrieval/archiving

Physical Requirements:

  • Frequent use of computer and mouse
  • Use of phone with or without headset
